How SoloFoxAI Inventory uses your information.

Your account inventory is stored online. Listing checks and imported screenshots are handled on your device, as explained below. We do not send them to an AI provider.

1. What this notice covers

This notice covers SoloFoxAI Inventory on the web and Android, records from earlier private Android testing, visits to SoloFoxAI pages and messages sent to SoloFoxAI. The private tester group and applications are currently closed, and the public testing page does not collect application details. Payhip handles website checkout, with Stripe as its card-payment provider. Google Play handles Android purchases.

2. Who we are

SoloFoxAI is the seller and data controller for this service. Business correspondence address: Office 149, 60 Tottenham Court Road, Fitzrovia, London W1T 2EW, United Kingdom. This is a correspondence address, not a customer visiting or parcel-return address. For privacy requests, email hello@solofoxai.com or use the SoloFoxAI Support page.

3. SoloFoxAI Inventory listing and inventory information

SoloFoxAI Inventory does not sign in to, post to or control Vinted or another marketplace account. It does not fetch private buyer messages or orders. If you ask SoloFoxAI Inventory to read an advert, its public link is sent to our service to retrieve the publicly available title, description, price and other listing details. The service does not save those retrieved details or use your Vinted login. You review the advert before applying its details to a check or an inventory entry. Ordinary hosting logs may record that the advert-reading service was used. Individual listing checks, unfinished drafts and follow-up checks remain in local browser or app storage on the user's device. Android backup is disabled for SoloFoxAI Inventory's app data.

When a website buyer uses Inventory, SoloFoxAI stores the public Vinted profile link they choose to save, marketplace advert links and wording, private item notes and promotion notes, reviewed item facts, stock status and sale records such as dates, asking prices, agreed item prices and seller-entered costs. These records are held in SoloFoxAI's hosted database under a pseudonymous purchaser identifier created from the verified purchase account; the purchase email is not copied into the inventory tables. Notes selected for a listing check are copied into that device-local check as private context and are not inserted into public listing copy. SoloFoxAI Inventory does not publish social posts or connect social accounts. A limited device cache can keep the latest inventory copy readable during a temporary connection problem.

On supported desktop browsers, a user can also choose a Vinted tab in the browser permission prompt and let SoloFoxAI Inventory take one screenshot of the visible area. No audio is captured, sharing stops immediately after the screenshot is taken, and the user reviews the image before importing it. This temporary image stays in browser memory and is not saved. If a user chooses screenshot import, the image is read in that browser to pre-fill visible listing text and figures. SoloFoxAI does not receive or store the screenshot. The text-reading component may download to the browser on first use, but the screenshot itself is not sent to SoloFoxAI. Users must check every imported value and should import only screenshots they are entitled to use. Screenshots should not include private conversations, payment information, addresses or anyone else's personal information.

Inventory update helper

The update helper interprets supported requests on your device without sending your request or inventory to an AI provider. Your typed request is not saved as a conversation. Only the change you review and confirm is sent to our inventory service. The saved item and its change history include the resulting cost, advert price, availability or private note. This uses the same purchase-account access and retention rules as other inventory edits.

4. Purchase and access information

An existing website buyer may enter the email used at checkout. That email is sent securely to the SoloFoxAI access service to confirm an active purchase and send a one-use sign-in code. A verified session provides access to that purchaser’s inventory. Google Play processes Android purchases and provides the purchase status needed to unlock or restore access. SoloFoxAI may receive order, contact and transaction-reference information needed for fulfilment, support, fraud prevention, accounting and legal obligations.

5. Information from earlier private testing

For people who previously requested or took part in private Android testing, SoloFoxAI may retain their first name, Google email, Android device, Vinted or other marketplace experience, participation agreement, where their application link came from and any separate product-update choice. For accepted testers, records may also include tester type, invitation, Google Group request and approval, Google Play opt-in, installation and reminder dates, first-try and follow-up dates, end-of-test enrolment checks, private feedback and support notes. This information was collected to select and contact testers, provide private test access, coordinate the required test period, understand device coverage and improve SoloFoxAI Inventory.

Tester details are reviewed in a private SoloFoxAI dashboard protected by sign-in and restricted to the SoloFoxAI owner. They are not public or shown to other testers. They are used only to manage and document that testing unless the tester separately chose product updates.

6. Technical information and device storage

Hosting and security providers may process limited technical records such as IP address, device or browser type, pages requested and timestamps to operate, protect and diagnose the service. SoloFoxAI does not use SoloFoxAI Inventory information for behavioural advertising and does not sell personal information.

The browser app uses an essential sign-in cookie to keep your verified session. It expires after 30 days and is cleared when you sign out; access is checked again against the purchase record. Local storage holds requested drafts, saved checks, preferences and a limited inventory cache. Cached application files support loading and recovery. Clearing site data removes those device copies and signs you out; it does not delete your online inventory or payment record. Download any saved checks you need first.

The Inventory app does not add optional advertising or product-analytics cookies. The separate SoloFoxAI company website and checkout providers may use their own technologies and show their own choices. Their notices apply when you visit those pages.

7. How information is used and shared

Information is used to provide access, keep the inventory and sales history requested by the user, calculate summaries from the user's own records, fulfil purchases, manage records from earlier private testing, answer enquiries, provide support, secure and improve the service, prevent fraud and meet legal obligations. It is shared only with providers needed to publish, host, secure, sell and support the service, including website hosting and security providers, Payhip, Stripe, Google Play and email providers, or with authorities and professional advisers where legally required.

8. Why we are allowed to use the information

Where UK data-protection law applies, we use contract as the basis for providing purchased access, the inventory you ask us to store and related customer support. We use legitimate interests for proportionate security, fraud prevention and investigating faults or complaints. Those interests are keeping accounts and records safe and maintaining a reliable service. We use legal obligation for records that tax, accounting or other law requires us to keep.

Optional product emails need a separate consent choice; a purchase or support request is not a marketing opt-in. You can withdraw that consent without losing purchased access. Research participation and any recording need their own information and consent process. We do not use the app to make automated decisions with legal or similarly significant effects on you.

9. Retention, exports and deletion

Inventory records remain until the user deletes an item or asks SoloFoxAI to delete the inventory attached to their purchaser account. A deleted item's inventory and event records are removed together. Deleting an item also cancels unfinished imports for that account and removes their temporary working copies, so an old import cannot put the item back. Your drafts stay on your device for you to review before starting a new import. A device may retain the latest cached copy until site data is cleared. Private tester applicants who were not selected will normally be removed within 90 days after the relevant test closes. Participation and feedback records may be kept for up to 24 months. Purchase and transaction records are retained as reasonably necessary to provide the one-time licence and meet accounting, fraud-prevention or legal obligations.

Sign-in codes expire after ten minutes and can be used once. The access service is configured to remove expired challenges and rate-limit records older than one hour on a 15-minute cleanup schedule. The challenge table stores hashed verification values, not readable codes. Provider-managed security logs and transaction records have separate retention rules.

Back up all inventory downloads your saved items, adverts, notes and change history. Download shown items is a reporting spreadsheet, not a complete backup. Saved listing checks have a separate device export. Keep these downloads private; you control the copies on your device.

Users can delete individual inventory records and local checks themselves. To stop a retried save from recreating a deleted item, we retain an opaque save reference and request fingerprint for a 30-day retry window. Expired references are removed when you next load or update your inventory, and by the configured cleanup job. They contain no item wording, notes or prices.

During an import, temporary working copies hold the item details being prepared. Successful imports clear those copies immediately. Unfinished imports expire after two hours; their working copies are removed when the account is next used and by the configured cleanup job. A small record of each import request, its settings, dates and result counts remains until account deletion to prevent old requests from running again. It does not retain the staged item details. Cleanup pauses while Support is carrying out a reviewed account operation.

Email hello@solofoxai.com to request an account export, correction or deletion, including after refunded access ends. We may need to verify control of the purchase email before acting. We will explain any information we must retain and why; do not send a login code, card details or someone else's private information with a request.

10. International processing and security

Some service providers may process information outside the UK. Appropriate safeguards are used where required. SoloFoxAI limits access, uses encrypted connections and collects only the information needed for the stated purpose.

11. Rights and complaints

Where UK GDPR applies, individuals may have rights of access, correction, erasure, restriction, objection and data portability, depending on the circumstances. You can object to processing based on legitimate interests and withdraw optional consent. Use hello@solofoxai.com for a request or privacy complaint. You may also complain to the UK Information Commissioner's Office; contacting us first does not remove that right.

12. Children and changes

SoloFoxAI Inventory and any private testing are intended for adults aged 18 and over. This notice will be updated when services or data practices change, with the current date shown above.
